POSITION PURPOSE The Primary Operations Administrative Assistant provides support for the Primary Operations Superintendent, supervisors, managers, other employees, and office visitors by handling a variety of routine and advanced tasks in order to ensure that all interactions between the organization and others are positive and productive.
Tasks include handling paperwork, data collection, report generation, tracking of training, safety program compliance, etc.
This also includes, but is not limited to, distributing Primary Operations project information to relative team members and tracking the return of critical information to equipment suppliers.
ESSENTIAL FUNCTIONS Comply with departmental/company safety rules, policies and programs Attend monthly OSHA safety trainings Attend all company required Safety and Environmental trainings Track and report employee safety program compliance Maintain and track safety related corrective actions Post plant safety statistics and safety related bulletins Represent the department on plant-wide committees Assist in writing and updating JSA's and participate in hazard assessments Participate in accident, incident, and near miss investigations as required Keep work area clean and orderly Assist in departmental housekeeping tours Track environmental inspections and audits Day-to-Day administrative duties, including office management duties Provide coverage for front desk receptionist as needed Daily report generation Collect weekly reports from direct reports to the Superintendent and then summarize into departmental weekly report Assemble morning reports for morning meeting Up-keep of departmental statistics and trend charts Update training records Distribute communications to crews Post informational memos throughout department Schedule/coordinate meetings in Primary Operation conference room Invoice tracking and receiving Perform any additional clerical or administrative duties required to support the department and the Superintendent of Primary Operations.
Assist all departmental managers in any administrative needs Manage office supplies Coordinate and plan training QUALIFICATIONS Competencies and Experience Required:
3 years of administrative experience Excellent computer skills (Microsoft Word, Excel, PowerPoint) Ability to multitask and easily adjust to changing job duties Strong organization, time management, and scheduling skills Attention to detail Ability to work with minimal direction Good oral and written communication skills, including the ability to communicate professionally at all levels in the company, and the ability to cover front desk reception Preferred:
3 to 5 years of office management experience Maintenance Connection experience Prior experience working around heavy industry Education Required:
